HD Intake Solutions

You're investing in getting prospective clients to your firm. What happens when they get there?

I help law firms create the easiest possible path from a prospective client's initial contact to becoming a client.

You know how your intake process is designed to work.

But that's not necessarily the process your prospective clients actually experience.

Every call, text, email, handoff, delay, and conversation can make the next step easier—or harder.

What steps along the way are making it harder for your prospective clients to hire you?

How It Works

We can't fix a problem we're unaware of.

That's why we start with a thorough assessment of your intake process from the prospective client's point of view.

We look at the entire experience to identify where trust and value are being built, where they're being eroded, and where unnecessary friction is making the next step harder.

From there, we prioritize what needs to be fixed first.

Finding the friction is only the beginning.

Once we've identified and prioritized the areas that need attention, we work together to determine the best solution for each one.

Then we create a practical plan to implement those changes within your firm.

And then we measure.

Are more prospective clients successfully making it from one step to the next? If they are, the changes are working. If they're not, we dig deeper to understand why.

Assess. Adjust. Analyze. Repeat.

We start by digging in.

The first four weeks are designed to give us a thorough understanding of your intake process while making practical improvements along the way.

  1. Week 1 — The Big Picture

We begin with a bird's-eye assessment of your current intake process, identify the most important friction points, and determine what needs our attention first.

  2. Week 2 — The Chase

We take a closer look at everything that happens from initial contact through the consultation or quote, while continuing to implement and measure the improvements we've already identified.

  3. Week 3 — The Follow-Up

We examine what happens after the consultation or quote until the prospective client either hires you or doesn't—including whether you're tracking and learning why they didn't.

  4. Week 4 — The Consultation

After I've had three weeks to understand your firm, your attorneys, and what sets you apart, we focus on the consultation itself and develop a framework that helps your attorneys build trust, demonstrate value, and make hiring easier.

  5. Ongoing Engagement

Applying the same methodology we used during the first four weeks, we continue to assess, adjust, analyze, and repeat on a less intensive schedule.

About

Doug Vannatta, founder of HD Intake Solutions

I don't just teach intake. I do it every day.

I've spent more than 20 years in sales and nearly a decade working in legal intake.

Throughout that time, I've continually studied sales methodology and buyer psychology—reading, training, learning from others in the industry, and testing those ideas against what I see in real conversations every day.

During that time, I've helped build intake systems, develop CRM workflows, coach intake teams, train attorneys, improve consultation strategies, and analyze thousands of conversations between law firms and prospective clients.

But I'm not teaching something I used to do.

I'm still doing it.

I work in legal intake every day, which means the ideas I bring to your firm aren't theories developed in a conference room. They're lessons learned and tested through real conversations with real prospective clients.

That's why I started HD Intake Solutions.

I've seen firsthand what works, what doesn't, and how seemingly small changes can make it easier—or harder—for someone to hire a law firm.

I started HD Intake Solutions because I believe the lessons I've learned in the trenches can help other firms build better intake processes, have better conversations, and ultimately create a better experience for the people who call them looking for help.
